This notice explains what information the Software Heads website processes, why it is needed and the choices available to you.
Who is responsible
Software Heads Limited, company number 10754409, is responsible for the personal information processed through this website. Its registered office is 12 Lordenshaw Drive, Rothbury, United Kingdom, NE65 7JU. To ask a privacy question or exercise a data protection right, use the enquiry form and state that your message is about privacy.
Information you provide
The enquiry form asks for your name, email address, company, company stage and a message. You may also provide a public website or product URL, the areas where you would like help and a broad timeframe.
Do not use the form to send passwords, credentials, personal records, confidential documents or other sensitive information. The form does not accept file uploads.
Why the information is used
The information is used to review your enquiry, decide whether Software Heads can help, respond to you and keep a reasonable record of the resulting business correspondence. The processing is based on taking steps at your request before a possible engagement and on the legitimate interest in managing genuine business enquiries.
Form delivery and email
The website runs on Cloudflare infrastructure. Cloudflare Pages Functions validates form submissions and Cloudflare Turnstile helps detect automated abuse. Accepted enquiries are sent to Andy's business mailbox through a transactional email provider. The website does not keep a separate application database of enquiries.
The infrastructure, security and email providers may retain limited operational logs. Message content and contact details are not intentionally written to application logs. Accepted enquiries and related correspondence remain in the receiving mailbox for as long as they are reasonably needed for the enquiry, any resulting engagement and applicable business or legal record-keeping.
Automatic acknowledgement
When an enquiry is accepted, the website asks the transactional email provider to send a brief acknowledgement to the address you supplied. It contains a plain-text copy of the information you submitted and is not a marketing subscription.
Analytics
The launch site is designed to work without non-essential cookies, advertising trackers or cross-site identifiers. If cookieless Cloudflare Web Analytics is enabled at launch, it will be used only to understand page visits, referral sources and successful enquiry journeys. The provider and final retention settings must be recorded in the launch checklist before analytics is enabled.
Who receives the information
Information may be processed by Cloudflare as the hosting and security provider, the transactional email provider used for the form, and the business mailbox provider. It is not sold or used for advertising profiles. Where a provider processes information outside the UK, appropriate contractual or legal transfer safeguards are expected to apply.
Retention
Enquiries that do not lead to work should be reviewed and deleted when they are no longer useful, normally within 24 months. Records connected to an engagement may be kept for longer where needed for contractual, tax, insurance or legal reasons. Shorter provider log retention should be selected where practical.
Your rights
Depending on the circumstances, you may ask for access to your personal information, correction, deletion, restriction, objection or a portable copy. You may also complain to the UK Information Commissioner's Office. A request may require reasonable identity checks before information is disclosed or changed.
Changes to this notice
This notice will be updated when the website's actual data flows change. The effective date above identifies the current version.
